The Event Planner Expo: Designing the VIP Experience
Mostest designed the VIP Hospitality Lounge for The Event Planner Expo 2025, creating an elevated space for event professionals and industry leaders to connect, recharge and build relationships away from the trade-show floor.
Overview
For The Event Planner Expo 2025, Mostest was tapped to create the VIP Hospitality Lounge—a dedicated experience within one of New York City’s largest gatherings for the events and hospitality industry.
The three-day Expo brought together thousands of event professionals, corporate decision-makers, venues and vendors, culminating in a trade-show experience with 150 exhibitors. eventplanner-expo.com
Within that scale, the VIP Lounge had a different job: create a space that felt elevated, intentional and personal.
The Goal
The Event Planner Expo is built around connection. For its VIP audience, Mostest wanted to create an environment that made those connections easier.
The lounge needed to offer a meaningful contrast to the energy of the trade-show floor—a place where VIP guests could step away, recharge, have a conversation and build relationships in a more considered setting.
And because the audience was made up of professional event planners and hospitality leaders, every detail mattered.
The Challenge
How do you impress a room full of people whose job is to create exceptional events?
The lounge couldn't simply be a collection of furniture behind a VIP entrance. It needed to feel like an experience of its own while still belonging within the larger Expo.
Mostest approached the space through the lens of hospitality: how guests would enter, where they would gather, what would make them stay and how the environment could facilitate the conversations the Expo was designed to create.
The Mostest Approach
Mostest transformed the VIP Hospitality Lounge into a destination within the larger event.
Design: Created the look, feel and layout of the lounge, giving VIP guests an environment distinct from the energy of the exhibition floor.
The Results
The VIP Lounge became a room within the room: a dedicated place for the Expo's highest-value guests to connect away from the pace of the trade-show floor.
That mattered because VIP access at the 2025 Expo was specifically positioned around premium networking and relationship-building, with executives, planners and corporate decision-makers among the event's audience. The Event Planner Expo
For Mostest, it was also an opportunity to showcase what we do in front of the people who understand events best.
Why It Worked
We weren't designing for event guests. We were designing for event planners.
That raised the bar.
The Expo created the audience. Mostest created the space where that audience could slow down, connect and experience the kind of thoughtful hospitality they spend their careers creating for everyone else.
The result: VIP felt like more than an access level. It felt like an experience.
